The International Rescue Committee (IRC) is hiring an Administrative Assistant for its New Jersey office, a part-time role working 15 hours per week on Tuesdays and Thursdays from 9:00 am to 5:00 pm. The position pays $23.50 to $24.75 per hour and runs through September 30, 2026. This is a fully in-person job based in a standard office environment. The person in this role handles the front desk and keeps the office running smoothly. That means greeting visitors, answering phones, managing office supplies, maintaining equipment like copiers and printers, and making ID badges for new staff and interns. The role also involves coordinating shared spaces like conference rooms and classrooms, processing mail daily, and keeping track of donations inventory. The position reports to the Operations Manager. IRC was founded in 1933 at the call of Albert Einstein and has grown into one of the world's largest humanitarian organizations. It operates in more than 40 countries and 29 U.S. cities, responding to major crises by restoring health, safety, education, and economic wellbeing for people affected by conflict and disaster. Responsibilities

  • Greet visitors, determine their needs, answer basic questions, and direct them to the appropriate staff or department
  • Manage visitor flow during peak periods such as open office hours
  • Answer and direct incoming telephone calls, take messages, and respond to basic questions
  • Assist with safety and security measures as required
  • Order and maintain office supplies, reviewing inventory and monitoring prices
  • Maintain office equipment including copier, fax, printer, scanner, and projector, arranging for maintenance and repair as needed
  • Maintain donations inventory
  • Make ID badges and maintain office photo lists
  • Ensure new staff and interns have access to ID cards, swipe cards, and office keys
  • Coordinate calendaring and use of shared spaces such as conference rooms and classrooms
  • Receive and distribute mail, processing outgoing mail and depositing it in the mailbox daily
  • Comply with agency policies and protocol
  • Complete other tasks and projects as directed by the supervisor

Requirements & Qualifications

  • High school diploma required; some university education preferred
  • Fluency in English with strong verbal and written communication skills required
  • Fluency in Spanish strongly preferred
  • Ability to speak additional languages common among IRC clients is a plus, especially Haitian Creole and French
  • Demonstrated proficiency with Microsoft Office programs including Excel, Word, and Outlook
  • Must be well-organized, reliable, professional, detail-oriented, and flexible
  • Desire to work as a team member and in a multicultural workplace
  • US work authorization required
